What Is a Booking Reference in Shipping? (And How to Track With It)

Published by Trackora · How our guides and tracking data work

When you book space on a container ship or arrange a freight shipment, the first document reference you receive is a booking reference — also called a booking number or booking confirmation number. This is issued by the shipping line or freight forwarder before your cargo is loaded, and it is the starting point for all documentation and tracking.

What Is a Booking Reference?

A booking reference is a unique alphanumeric code assigned by the shipping line when you reserve space on a vessel. It confirms that the carrier has allocated a slot for your cargo on a specific sailing. The booking reference is used internally by the shipping line to link your cargo to a specific vessel, voyage, origin port, and destination port. It is not a legal document — it simply confirms your reservation.

Booking Reference vs Bill of Lading vs Container Number

These three references represent different stages of the shipping process. The booking reference comes first — issued when you book, before the cargo is loaded. The bill of lading (B/L) is issued after the vessel departs — it is the legal contract of carriage and document of title. The container number identifies the physical box your cargo is loaded into — you typically receive this after container stuffing. Think of it as: booking reference = hotel reservation, B/L = check-in receipt, container number = your room number.

Can You Track a Shipment Using a Booking Reference?

Yes, but with limitations. Before the vessel departs, a booking reference typically only shows the scheduled sailing details — vessel name, voyage number, and estimated departure date. Real-time tracking events (loaded, departed, in transit, arrived) only become available once the cargo is physically loaded and the vessel departs. After that, the B/L number usually provides more detailed event tracking than the booking reference. Most shipping lines accept both on their tracking portals.

How to Track Using a Booking Reference on Trackora

Enter your booking reference in the Trackora sea freight tracker and select your shipping line. Trackora generates a pre-filled direct link to the carrier's official tracking portal with your reference already entered. For carriers that provide API data, Trackora displays the available event history directly. Note that pre-departure, the tracking data will be limited to scheduled sailing information.

When Does a Booking Reference Become a Bill of Lading?

The booking reference transitions to a bill of lading number after the vessel departs and the carrier issues the B/L — typically 1–3 days after the ship sails. Your freight forwarder will send you the draft B/L for review, and once approved, the final B/L is issued. The B/L number is different from the booking reference, though some carriers use similar numbering. From this point, use the B/L number for all tracking and customs purposes.
